Terms of Service

Last updated: March 2026

1. Acceptance of Terms

By accessing or using AtlasOS Practice Management ("AtlasOS", "we", "us"), you agree to be bound by these Terms of Service. If you do not agree, do not use the platform.

2. Service Description

AtlasOS is a cloud-based practice management platform for accounting and professional services firms operating in South Africa and other jurisdictions. Features include compliance calendar management, client portal, smart inbox, billing, and AI-assisted workflow automation.

3. Account Registration & Onboarding

To access AtlasOS you must register a practice account and complete payment for a subscription plan. Your account is activated following successful payment and an onboarding session with our team. You are responsible for maintaining the confidentiality of your login credentials.

4. Subscriptions & Payment

Subscriptions are billed monthly in advance at the rate displayed at the time of signup. All prices are in South African Rand (ZAR) unless otherwise stated and are inclusive of applicable VAT where required by law. Payment is processed via our authorised payment partner (Yoco). You authorise us to charge your nominated payment method on each billing cycle.

5. Cancellation Policy

You may cancel your subscription at any time by contacting our support team at support@atlasos.work or via the Settings section in your account. Cancellation takes effect at the end of the current billing period. Your access to the platform will continue until the end of the period you have paid for.

6. No Refund Policy

All fees paid are non-refundable. Because onboarding involves significant work from our team — including account setup, data migration assistance, and personalised training — we do not offer refunds on fees already paid, whether upon cancellation, downgrade, or for any other reason. This applies to all plan tiers including Starter, Professional, Growth, and Enterprise.

If you have a billing dispute or believe you have been charged in error, please contact us within 14 days of the charge at billing@atlasos.work and we will investigate promptly.

7. Data & Privacy

We are committed to protecting your data in accordance with the Protection of Personal Information Act (POPIA). Please read our Privacy Policy for full details on how we collect, store, and process personal information.

8. Acceptable Use

You agree not to use AtlasOS for any unlawful purpose, to attempt to gain unauthorised access to any part of the platform, or to transmit any harmful, offensive, or fraudulent content. We reserve the right to suspend or terminate accounts that violate these terms.

9. Intellectual Property

All software, content, and materials on the AtlasOS platform are the intellectual property of AtlasOS Practice Management or its licensors. You are granted a limited, non-exclusive licence to use the platform for your internal business purposes. You may not copy, modify, distribute, or reverse-engineer any part of the platform.

10. Limitation of Liability

To the maximum extent permitted by law, AtlasOS shall not be liable for any indirect, incidental, special, or consequential damages arising from your use of the platform. Our total liability in any matter arising out of these terms shall not exceed the total fees paid by you in the 3 months preceding the event giving rise to liability.

11. Changes to Terms

We may update these Terms of Service from time to time. We will notify you of material changes by email or via an in-app notification. Continued use of the platform after changes take effect constitutes acceptance of the revised terms.

12. Governing Law

These terms are governed by the laws of the Republic of South Africa. Any disputes shall be subject to the jurisdiction of the South African courts.
